The Department of Neurosurgery is seeking a highly organized and proactive Neurosurgery Patient Care Coordinator (Administrative Assistant 3) to provide advanced administrative and patient support within the Physical Medicine & Rehabilitation (PM&R) Program. This position serves as a key member of the team, ensuring efficient clinic operations and exceptional service to patients, families, and providers.
Responsibilities include:
Coordinating patient care, continuity, and follow-up.
Managing clinic scheduling, appointment preparation, and documentation.
Assisting patients with diagnostic test scheduling, referrals, and authorizations.
Handling patient communications, medical records requests, and medication refill processing.
Performing general administrative duties and special projects as assigned.
The ideal candidate is detail-oriented, adaptable, and able to prioritize multiple tasks in a fast-paced clinical environment. The role works under the general supervision of the Clinical Director, Clinical Operations Manager, and attending physicians, following departmental and university policies and procedures.
Salary Range: $30.36 - $43.49/Hourly
Qualifications
Required:
High degree of adaptability.
Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload and assignments, pressures of deadlines, and/or a heavy workload.
Demonstrated basic knowledge of physician office policies and procedures.
Ability to establish and maintain cooperative and collaborative working relationship with medical, nursing and administrative personnel.
Skill in working independently and following through on assignments with minimal direction.
Knowledge of neurological/neurological surgery/orthopedic surgery medical terminology to communicate effectively with physicians, nurses and other members of the health care community.
Current knowledge of neurosurgical diagnosis, treatments, and terminology.
Working knowledge of patient related policies and procedures, as well as a thorough understanding of the University system.
Familiarity with physician office billing procedures.
Working knowledge of PC including the following software: Microsoft Word, Microsoft Outlook, Excel, Windows.
Knowledge of University forms and procedures.
Skill speaking on a one to one basis with persons of various social, economic, and cultural backgrounds to obtain information and explain procedures.
Ability to prioritize workload when faced with changing deadlines.
The incumbent should be able to handle variable supervisors and be receptive to an unpredictable work schedule.
They should have the ability to triage incoming calls with efficiency.
The incumbent must have the flexibility to be able to handle variable physician calendars.
Requires responsibility of checking in nightly for next day’s assignment.
Skill in reading medical and scientific data, such as material for slide preparation, manuscripts, and publications. Working knowledge of presentation graphic software (Power Point) to assist in preparation of teaching slides.
